Who we are

Easy Mortgage Canada Inc., trading as Easy Mortgage Canada, is a mortgage brokerage service operating in Ontario. Mortgages are arranged through BRX Mortgage Inc., FSRA Brokerage Licence #13463. Easy Mortgage Canada Inc. is the organization responsible for the personal information collected through this website and through our lead forms.

We are subject to the Personal Information Protection and Electronic Documents Act, the federal privacy law governing commercial collection of personal information in Canada, and to the privacy obligations that apply to licensed mortgage brokerages in Ontario.

What we collect

Information you give us directly. When you complete a form on this site we collect:

Your name
Your email address
Your phone number, if you provide one
Anything you choose to write in the message field

That is the whole of what this website collects through its forms. We do not ask for your Social Insurance Number, date of birth, income documents, banking details or credit information anywhere on this website.

Information from our Facebook and Instagram lead forms. Some of our ads on Facebook and Instagram include a short form you can fill in without leaving the app. If you submit one, Meta Platforms passes us what you entered: usually your name, email address and phone number, along with your answers to any questions on that form. We also receive the name of the ad and campaign you responded to and the date you submitted it, so we know what you asked about. Meta collects and handles that information on its own side under the Meta Privacy Policy.

Information collected later, off this website. If you go on to make a mortgage application, we will need considerably more: income and employment documents, banking information, details of your debts, property information and your consent to obtain a credit report. None of that is collected here. It is gathered separately, through a secure application process, and we will tell you at that point exactly what is needed and why.

Information collected automatically. Our hosting provider records standard server information such as your IP address, browser type and the pages requested. This is used to deliver the site, keep it secure and prevent abuse.

Why we collect it

We use the information you submit for these purposes and no others:

To respond to your enquiry
To discuss your situation and arrange mortgage financing for you
To send you information you have asked for
To meet our record keeping obligations as a licensed mortgage brokerage

We do not sell your personal information. We do not rent it, trade it, or provide it to third parties for their own marketing.

When you submit a form on this site, or one of our lead forms on Facebook or Instagram, you are consenting to us contacting you about your enquiry by phone, text message or email, and to us using the information for the purposes listed above.

That consent is yours to withdraw. You can ask us to stop contacting you at any time, and we will. Any commercial email we send will include an unsubscribe link, and unsubscribing does not affect our ability to reply to something you have asked us about.

Where we need to obtain a credit report or share your file with lenders as part of an application, we will ask for your consent separately and specifically at that point. It is not covered by submitting a form here.

We share personal information only in these circumstances:

BRX Mortgage Inc., the brokerage through which mortgages are arranged, as required for the brokerage to meet its regulatory and record keeping obligations.
Lenders and mortgage default insurers, but only once you have made an application and given specific consent, and only those we are actually submitting your file to.
Service providers who operate the tools we use, such as our customer relationship management system, our website host, and Meta Platforms for enquiries made through our Facebook and Instagram lead forms. They may only process information on our instructions and for our purposes.
Regulators, or where the law requires it, including the Financial Services Regulatory Authority of Ontario in the course of its supervision, or in response to a lawful order.

Cookies and tracking

As at the date of this policy, this website does not set advertising cookies, does not run an analytics package, and does not carry an advertising pixel. We do not track you across other websites.

The site uses ordinary technical storage in your browser for things like remembering that you have dismissed a message. Third party tools embedded on some pages, described below, may set their own cookies when they load.

If we add analytics or advertising tools in future, including advertising pixels used for social media campaigns, we will update this section before doing so and will obtain consent where the law requires it.

Third party tools on this site

Some pages embed or link to tools operated by other companies. When you use them, you are dealing with that company under its own privacy policy, and we would encourage you to read it.

Mortgage calculators. The calculators on this site are provided by a third party and load from their servers. Figures you enter into a calculator are not sent to us and we do not see them.
Mortgage application tools. The purchase and refinance buttons open an application platform operated by a third party on a separate website.
Mortgage Monitor. A mortgage tracking service we link to as a client resource. It is operated independently of us.
Social media. Links to our Instagram and Facebook pages take you to those platforms, which collect information under their own policies. The same applies to our lead forms inside Facebook and Instagram ads, which are hosted by Meta.

Where your information is stored

Form submissions, whether made on this site or through one of our Facebook or Instagram lead forms, are transmitted over an encrypted connection and passed to our customer relationship management system. This website itself holds no database and stores nothing you submit.

Some of the service providers we use store or process data on servers outside Canada, including in the United States. Where that is the case, the information may be accessible to the courts and law enforcement of that country under its laws. We use established providers with contractual protections in place, but you should be aware of this before submitting information.

How long we keep it

Enquiries that do not lead to an application. We keep these only as long as we need them to deal with your enquiry, and for a reasonable period afterwards in case you come back to us. You can ask us to delete them sooner and we will.

Mortgage applications and completed files. Ontario mortgage brokerage regulation requires records of every mortgage application, mortgage instrument and renewal agreement to be retained for at least six years. That six years runs from the expiry of the transaction rather than the date you applied, so a five year term arranged today is kept for eleven years in total.

We keep those records for at least that long because we are legally required to, and this is the one area where we cannot delete your information on request. Once the retention period has passed, records are deleted or destroyed.

Your rights

Under Canadian privacy law you have the right to:

Know what personal information we hold about you
See it, by making a request to us in writing
Correct it if it is wrong or out of date
Withdraw your consent to us using it, subject to legal and contractual limits
Ask us to delete it, where we are not required by law to keep it
Complain to us, and to the Office of the Privacy Commissioner of Canada if you are not satisfied with how we respond

Email info@easy-mortgage.ca and we will respond within thirty days. We may need to verify your identity first, which protects you rather than us.

The one limit worth being straightforward about: where we are legally required to retain a record, such as a completed mortgage file, we cannot delete it on request until that period has passed. We will tell you if that applies.

How we protect it

This site is served over an encrypted connection and form submissions are transmitted encrypted. Access to our customer relationship management system is restricted and password protected. We ask only for the information we actually need, which is the most effective protection there is.

No method of transmitting information over the internet is completely secure, and we will not claim otherwise. Please do not send documents containing your Social Insurance Number, banking details or income information through the message field on this website. If we need those, we will give you a secure way to send them.

Children

This site is intended for adults seeking mortgage financing. We do not knowingly collect personal information from anyone under the age of eighteen. If you believe a child has submitted information to us, contact us and we will delete it.

Changes to this policy

We may update this policy as our practices or the law change. The date at the top of this page shows when it was last revised. Where a change materially affects how we handle information you have already given us, we will take reasonable steps to tell you.
